Turnovers are the part of a short stay that scales worst

At ten units with a few stays each a month, coordinating cleaners by text is manageable. At thirty units it is a part-time job: checking the calendar, messaging the right cleaner, confirming the job is done before the next arrival. None of that coordination cleans anything. The booking creates the cleaning

When a reservation is confirmed, a "Checkout cleaning" task is created for its checkout date, on the right property and unit, already assigned to that property's default cleaner. If the reservation is cancelled, the open cleaning task is withdrawn, so nobody turns up to clean a property that was never occupied.

A studio and a five-bedroom villa do not have the same turnover. Each property carries its own cleaning checklist — strip and remake beds, bathrooms, kitchen, floors, bins, restocking, a damage check, photos — editable to match the property, and every generated cleaning task inherits it.

A field app built for cleaners, not office staff

Cleaners and maintenance staff open their task list on their phone in the field app. They see today's jobs, tick off the checklist as they go, and start and stop a timer so time on site is recorded rather than estimated. The app installs to the home screen and keeps working without signal, queueing updates until the phone reconnects — which matters in basements, rural cottages and buildings with thick walls.

Office staff see the same tasks move from open to done in real time on the task board, so the question "is unit 4 ready for the 3pm arrival?" has an answer without a phone call.

Scheduling around same-day turnovers

The hard days are back-to-backs: a checkout at ten and a check-in at four on the same unit. The portfolio view of the booking calendar shows those days at a glance across every property, so you can see in advance which cleaners have a tight window and which properties need a second pair of hands.

Because each cleaning task is dated to the checkout, the cleaner's list for a given day is simply the checkouts on the properties they cover. Reassigning a single job when someone is ill is one change, not a chain of messages.

When a cleaner reports damage or a broken appliance, that becomes a maintenance task on the same property, so the fix is tracked from report to repair. Cleaning costs and repair invoices post to the property's ledger and appear on the owner statement, with the description an owner needs to recognise them.
