What a channel manager actually has to do

Strip away the marketing and a channel manager has one job that cannot fail: when a night is sold anywhere, it must stop being for sale everywhere else. Rates, photos and listing content matter too, but a portfolio can live with a slightly stale description. It cannot live with two guests arriving at the same door. Our channel sync is built around that job first.

How the sync works

Each unit has a private calendar export link. Paste it into Airbnb, Booking.com, Vrbo or Google Calendar and the platform blocks the nights you have sold elsewhere. In the other direction, you add each platform's calendar link to the unit, and its reservations are imported into your booking calendar every 15 minutes, or on demand with a sync button.

Conflicts are surfaced, not swallowed

If an imported booking overlaps a stay that already exists on the same unit, it is not written over the top and it is not quietly dropped. The feed is marked as having a conflict, with the clash visible to the team, so a person decides which booking stands while there is still time to rehome a guest. Re-syncing the same feed never duplicates a stay.

Calendar sync versus a full API channel manager

There are two kinds of channel connection. Calendar (iCal) sync exchanges availability: which nights are taken. An API connection, the kind sold by dedicated channel managers, also pushes rates, restrictions, photos and listing content, and receives reservations within seconds.

Our sync is the first kind, and we would rather say so plainly. It closes dates across channels reliably, but it does not push nightly prices to the platforms, and its speed also depends on how often each platform refreshes the calendars it subscribes to, which can be well over an hour on some. For a portfolio selling the same unit on two or three channels, with a few days between most bookings, that is enough. For high-volume units where last-minute bookings land minutes apart on several channels, a dedicated API channel manager is worth its price.

Who calendar sync suits

Managers and co-hosts with a few to a few dozen units, mostly on Airbnb plus one other channel, who change prices weekly rather than hourly. In that shape, most of the double-booking risk comes from calendars that are not connected at all, and connecting them removes it.

It also suits mixed portfolios. A unit let on a six-month lease in winter blocks its calendar on every platform automatically, because the lease sits on the same calendar as the nightly stays — something channel-only tools have no way to express.

What the platforms still own

Listing content, reviews, platform-specific pricing and guest messaging stay on each platform. Many teams keep prices on the platforms in step with pricing rules for direct bookings, or set them in a revenue-management tool. Guest messages from the platforms can still reach your unified inbox through the email copies the platforms send.
