California law treats a cash rent payment differently from every other payment method: a written receipt is mandatory for cash, no request required. For any other payment method — check, money order, or electronic transfer — a receipt only has to be provided if the tenant asks for one, though providing one automatically for every payment is a low-cost habit that avoids the question ever coming up.
What has to be on the receipt
A compliant rent receipt needs the date payment was received, the total amount paid, the rental period the payment covers, the property address and unit, the tenant's name, the landlord or agent's name, and a signature or signed acknowledgment. A receipt missing the covered rental period is one of the more common gaps — a bare "amount received" note without stating which month it applies to does not fully satisfy the requirement.
Electronic payments still need documentation
A digital payment confirmation from an online rent collection platform generally satisfies the receipt requirement for electronic payments, as long as it captures the same core information — amount, date, period covered, and the parties involved. Maintaining a full payment log across every tenant, not just issuing one-off receipts on request, is the more defensible practice if a payment dispute ever comes up later.
What happens if a landlord does not comply
A tenant who is not given a required receipt can bring a claim in small claims court, and repeated noncompliance increases exposure to penalties. Even without a receipt, a tenant can point to bank records or other evidence of payment — but the absence of a receipt trail generally does not favor the landlord's side of a dispute over whether or when a payment was made.
